The Importance of Record Keeping

As a family day care provider, you are also a small business owner and therefore must keep good records. You may also want to consider opening a separate checking account for your business.

Accurate records must be kept of your income and expenses for filing your state and federal income taxes.

Licensing and support agencies require that you keep attendance, health records, documentation of participation of required classes, and medical authorization for all children in care.

When you participate in the USDA Child and Adult Care Food Program through Northwest Nutrition Service, you will need to keep enrollments of each child, menus, attendance and time in and out records.


Below is a list of records you need to keep. This list may not be all inclusive.

Business Records:

  • Business License- required in most cities
  • Day Care License- required for the State of Oregon if caring for more than 3 children from different families for more than 70 days in a year.
  • Proof of participation of Required Classes- Child Abuse training, food handling, CPR and First aid are now required by the State of Oregon. If you are renewing your registration, check your renewal date for class requirements.
  • Copies of Liability Insurance
  • Monthly and Yearly record of income and expenses
  • Mileage records
  • Receipts for all day care purchases
  • Warranties for day care purchases
  • Receipts for fees for Associations, education etc.

Records of the Children in your Care:

  • Enrollment information
  • Records required by the State of Oregon
  • Medical and health records
  • A signed copy of Parent/Provider agreement
  • Attendance records
  • Copies of all correspondence with parents

  • Meal and snack menus
  • Attendance records
  • Time in and out records
  • Enrollment for each child
  • Agreement between sponsor (Northwest Nutrition Service) and you as the day care provider
